Getting started
How quickly can you start?
Within a week is realistic for most clients, and we work around your timing. If you have an urgent deadline approaching - a VAT return, an overdue filing, a funding round - please raise it on the discovery call. That allows us to plan resources properly and give you a clear answer on whether we can meet it.

How do we switch from our current accountant?
You notify them that you are moving, and we handle the remainder. We write to them for professional clearance and your records, and we agree the cut-off point so nothing is missed between us. Most transfers take around two weeks, with no gap in filing.

We are behind on our filings - will you still take us on?
Yes. We regularly take on companies with overdue returns, unfiled accounts or outstanding HMRC correspondence, including several years at once. Before we begin, we will set out what is outstanding, what it will cost to bring up to date, and the likely penalty position.

Our records are not in good order. Is that a problem?
No - it is a common starting point. Disconnected bank feeds, unmatched payments, duplicate entries and foreign currency that has not synced correctly are all routine to resolve. We will flag anything we cannot resolve independently and set out precisely what we need from you.

How much does it cost, and how is it charged?
Retainers start at £1,000 per month for businesses under £1m turnover, £5,500 for £1m–£5m, and £10,000 above that, excluding VAT. These figures are the starting point of each band rather than an average: your turnover sets the band, and the fee within it depends on transaction volume, number of accounts, invoice volume and complexity. You receive a quote after a short discovery call, confirmed in writing before you commit. Project work is quoted separately against its own scope. Full detail is on our services and pricing page.

What happens if the work grows beyond what we agreed?
We provide a revised quote before we begin, and we do not proceed until you have approved the cost. Add-ons and project work - payroll, systems implementation, audit preparation, remediation - are quoted separately rather than absorbed into the monthly fee. You will not be invoiced for anything you have not approved. As your volumes change, we review whether you are still on the right level rather than leaving you on a fee that no longer matches the work.

Do you charge for phone calls and emails?
No. Questions during the month are included in the fee, and every retainer includes a regular review call: 30 minutes at Foundations, an hour at Growth, and board attendance at Partner. Defined pieces of advisory work are quoted separately, so the distinction between a question and a commissioned project is always clear.

What is the handover if we leave?
Your accounting file, records and data belong to you and remain with you. On leaving, we transfer everything to your new accountant and respond promptly to their professional clearance request, at no charge, provided this falls within your notice period. Any work requested after that point is quoted separately.

Is there a minimum term or notice period?
Three months to start, then month to month with a month’s notice. The initial period allows the work to settle before it is assessed; after that, you are never more than a month from ending the engagement.

Who will be doing our work?
You will have an assigned client manager who leads the relationship and reviews all work before it is issued. Day-to-day processing is handled by our accounting team, who you will also deal with directly. You will not be passed between different people from one quarter to the next.

Is any of the work outsourced or offshored?
No. All work is carried out by our own team, and we will confirm exactly who is assigned to your account before you sign. No work is passed to a third-party processing firm.

What happens if our main contact is on leave?
A second person always has visibility of your file, and we include a colleague on client correspondence as standard. Deadlines are not affected by annual leave.

Can you work alongside our existing finance person?
Yes, and we frequently do. We work with in-house bookkeepers, operations partners and other advisers, and we agree responsibilities at the outset so nothing is duplicated or missed. Engaging us does not mean replacing anyone.

Are you insured?
Yes. We hold professional indemnity insurance covering the work we carry out for clients. Details are available on request.

What do we receive each month?
This depends on your level and on what your business requires; we agree the scope with you on the discovery call rather than applying a fixed package. Broadly, it ranges from a monthly profit and loss with commentary through to full management accounts, KPI dashboards, forecasting and multi-entity consolidation. Do you prepare the payments, or make them?
Either. Most clients begin with us preparing the payment run for approval, and some ask us to execute payments as well. In both cases, you approve before any funds move.

Will you chase our overdue invoices?
Yes. Credit control is a core part of our service. We chase your debtors, follow up on purchase orders and remittances, and maintain the aged receivables ledger so you have an accurate view of what is owed.

We invoice across more than one country - can you handle the VAT?
Yes. Cross-border VAT and multi-entity groups are routine for us, including cases where two entities in different countries invoice the same client. We review the treatment ahead of each return rather than identifying errors at year end.

Do we have to use Xero?
No. We also work with QuickBooks and Sage, so there is no requirement to change systems in order to work with us. Xero is our recommendation and where we work most efficiently; if you would like to move, we handle the migration as a systems implementation project, quoted separately from your monthly fee.

What access do you need, and who stays in control?
We require adviser-level access to your accounting file and, where relevant, view access to your bank. Subscriptions remain in your name and you can withdraw our access at any time. Your records are never held in an account you cannot reach.

Who deals with HMRC and Companies House?
We register as your agent, which allows us to file and correspond with HMRC on your behalf, and we handle Companies House filings and confirmation statements. You retain your own Government Gateway credentials.

What kind of businesses do you work with?
Creative agencies and production companies, health and wellbeing businesses, sports organisations, and technology and AI startups. A significant portion of our work is with groups - owners running several companies, or one business operating across multiple locations - where entities share costs, invoice each other and require consolidation. We are equally comfortable with project-based revenue, international clients and businesses going through a funding round.

Are we too small for you?
Complexity matters more than size. Our clients are typically limited companies with staff or contractors, VAT to manage, more than one revenue stream, and growth that finance needs to keep pace with. If you are a sole trader requiring an annual self-assessment return, a local high-street accountant will serve you better and at lower cost. We will tell you on the discovery call if we are not the right fit. The first two sentences of each answer should stand as a complete answer; the remainder is supporting detail. This is the section search engines and AI tools tend to surface. Retain the question wording people search with ("do we have to use Xero" rather than "software policy"). Mark the section up with FAQ schema so it is eligible for rich results and easier for AI tools to parse. Consider splitting: questions 1–12 on the services page, the remainder on an onboarding or "working with us" page.
